Regulations​

All drivers are expected to have read and understood the Sporting Regulations and understand the Qualifying & Race Start Procedure prior joining the session. This will minimize any confusion on track, and ensure the race goes smoothly for all!

For drivers new to the series, please make sure you understand the qualifying regulations and how to request a black flag clearance to utilize the GP shortcut.


Discord​

Winter-VLN uses an official Discord Server where all official race communication will take place. Please be sure to use your Team Number followed by your iRacing name as your channel nickname in Discord to make communication with Race Control easier. (e.g. #xxx - yourIRacingName)

All teams will have a private discord voice channel that can only be seen and joined by drivers with the correct roles. If you or your teammates are missing roles, please talk to your team manager and request them to visit the league website and update the driver details to include your discord user! Once this is done, you will get the roles on the next discord sync.

Change & Paint Deadline​

The deadline to make changes to teams is Wednesday - the 24th of November - at 23:59 UTC. All change requests sent in after this will only be applied for the following race. The same deadline applies for paints - all paints submitted after this will only be included for the following race’s paint pack.

One exclusion to this rule is adding drivers - this can be done at any time on the website. However, if a driver is not registered before they get in the car, a penalty will be given for an unregistered driver.

Setting Team Name and Number​

To set your team name and number, you need to visit the iRacing website.


To set your team name, use the “My Teams” button under the “Teams” menu. Click on the team you want to edit, then hit the edit info button. Please ensure that your team name matches what is registered including the casing of the name. So instead of ARTIFACT RACING, please enter Artifact Racing. The full name and id here should match what has been registered with the league.




To set your car number, you now must use the new iRacing UI. See below for a video tutorial of how to do this:

Very Important: Joining Session​

When joining a session you only have one chance to register properly. Make sure when registering to the session that you are selecting the correct team with the Team ID used when registering for the series, correct car, and correct number you have been given during registration.

If you register with any of the above information being incorrect, your team will not be allowed to reregister with the correct car using another team and will be assessed a penalty that is described in our regulations. Registering a 2nd car to avoid a penalty will result in an automatic back of reserve list penalty so please make sure you have everything right when registering!


Race Control​

Live marshal(s) will be in a “Race Control” voice channel in the official Discord. The only communication with Race Control through the iRacing chat during the race will be for any major incidents or with solo drivers.

Incident Reports​

If you wish to file an incident report during the race, you can do so via our protest center on our league website - you must login to our site using your discord credentials to see the protest center. You MUST have the following information in order to submit the incident:
Your Car Number
Protesting Cars Team Number
Sector #
Your Team’s Lap #
Timestamp - Hour
Timestamp - Minute

If you report the incident in any other form, it will be ignored. Once a protest is filed, a message will be sent in the iRacing RC chat as well as in our Discord server acknowledging the protest. Once a decision has been made, a 2nd message will be sent to inform all teams of the decision. All decisions are final and cannot be appealed.

When looking for the timestamp, please use the iRacing provided timestamp. To find it, press the button on the furthest right of the replay controls (the “tools” button) which will pop open this replay highlighter. The replay highlighter allows us to much more quickly find an incident at this track since it is so large. The timestamp is not required to be exact like the other fields, but reporting it correctly assists RC in being able to review incidents quickly. While the timestamp does not have to be exact, all other details must be an exact match for the incident.

Serving Penalties​

Any team that receives an in-race penalty will be sent a message in the iRacing sim. Once notified, a team has 5 minutes to acknowledge the penalty. The in-sim penalty will be applied after this acknowledgement, or after 5 minutes has passed - whichever happens first. Any penalties issued in race will be accompanied by a message of the penalty needed to be served with why the penalty was issued and an iRacing black flag issued by Race Control. Remember, all penalties will be required to be served in your pit stall. You are not allowed to receive any service to the car while serving a penalty. iRacing adds an additional 26s of penalties if you take service with a penalty. Per our series rules, if we see that you received service while serving a penalty, you will be issued another penalty as well so please make sure you have everything set when serving a penalty!


Drivers Briefing​

We will have a short 15 minute briefing before the start of qualifying to review some minor details and provide one last opportunity for teams to clarify any regulations. As it is broadcasted, we want to go over the start procedure one final time so that the start goes smoothly! The driver’s briefing will be done in Discord and RC will announce the start of the briefing through the iRacing Race Control voice channel. During the driver’s briefing, cars should not be on track. Drivers must be on mute in the briefing except to ask questions. We do not expect to use all 15 minutes but it is also a final chance for teams to get verbal clarity on any questions that may arise.
